When your Customer Service Representatives need to respond to customer queries immediately and send secure written communications, Rapid Letters is the solution.

Your employees can easily use the Rapid Letters interface to personalize and send ad hoc documents using pre-developed templates — even while the customer is on the telephone.

Rapid Letters is integrated with core system documents into existing workflows, regardless of source. Response tracking and document archiving ensure complete accountability. The Rapid Letters interface also supports multiple languages based on customer demographics.

The user administration interface lets you control what your employees can do with Rapid Letters, enabling you to configure roles and access rights appropriate to your business processes.

The Rapid Letters interface has three modules: Letter Builder/Template Designer, Letter Sender and Knowledgebase.

Together, these modules enable the creation and management of on-demand print and electronic letters for call and collection center representatives and other internal users.

Letter Builder/Template Designer

  • The Letter Builder/Template Designer module enables the creation and management of templates that are used in Letter Sender.
  • Templates are based on a predefined framework that defines the layout and ordering of the content (logos, text, graphics, etc.). Style elements (such as fonts, logos, margins) are fixed and based on specific style guides and business rules of the enterprise.
  • All templates are categorized and versioned, and all templates and template versions are searchable. Template creation and edit tracking information is retained for audit purposes.
  • Tools enable template creators to specify content and formatting for each template element, including metadata tags, and further enable the creators to specify which elements are editable in Letter Sender.
  • Authority to create new templates, new versions of templates, and to designate a template as production ready is controlled through user roles.

Letter Sender

  • The Letter Sender module enables creation and delivery of one-time, personalized ad hoc letters. Users can create a letter to a recipient using a pre-defined letter template, and initiate the delivery process of the letter.
  • Letters can be addressed to any recipient, and for letters to existing customers, the user can search for a customer and use the customer‘s current account information (account number, postal address, email address, etc.) stored in the core system of record to automatically fill fields in the letter.
  • Font formatting (bold, underline) can be controlled by the user, based upon the template. The user chooses the delivery method for the letter during letter creation based upon available methodsfor the selected template and according to the needs of the enterprise.
  • All letters, whether print or electronic, are produced and delivered through the production services that are in place for all core system documents.
  • A Dashboard feature enables access to recent pending and completed letters enabling resending a completed letter or editing a pending letter. Letter creation and edit tracking information is retained for audit purposes.

Knowledgebase

  • The Knowledgebase module provides a single online access point to company policy and procedure information as well as business communications.
  • The Knowledgebase Dashboard displays all content and communications published to the Knowledgebase over the last thirty (30) days sorted by priority and published date.
  • Information contained in the Knowledgebase is categorized in a folder hierarchy structure that allows the user to quickly navigate to information. This hierarchy is managed by a client administrator. The administrator can add new folders, modify folder names and location as well as add files to specific folder location. Changes made are immediately available to end-users.
  • The Knowledgebase Search module further assists users in locating information by allowing them to search by keyword, file name, file type, Knowledgebase folder and published date. The keyword search will return search results for all content in the knowledgebase that contains the keyword as an individual word or part of a word.
  • The Knowledgebase Letter Sender module leverages CEDAR’s standard letter creation capability and enhances it by allowing the user to create a complete electronic communication – letter, email message and attachments.
